Remove someone who has left the school
When a teacher or member of staff leaves — or is let go — remove them from the school. They lose access straight away, their records stay exactly as they are, and you can bring them back later.
People leave. A teacher resigns at the end of term, a bursar's contract ends, or someone has to be let go. When that happens, remove them from the school. It cuts their access the moment you click, and it keeps every record they created — the attendance they marked, the results they entered — exactly where it is.
You are not deleting anyone. A person who has taught in your school is part of your school's history, and edunile keeps that history whole.
Steps
Find them in the Directory
Go to Staff Room. Use the search box or the role filter to find the person, then click the ⋮ menu on their card.
Choose Remove from school
Click Remove from school. You can type a short reason — "Resigned", "Contract ended" — which is kept with their record for your own reference. Then confirm.
Their access ends immediately. If they are signed in somewhere, the very next thing they try to do will sign them out.
Give their duties to someone else
Right after removing them, edunile shows you what they were responsible for and now needs a new owner:
- a class they were class teacher of
- a department they headed
- any subjects they taught
- their timetable periods for the week
Each one links straight to where you can assign somebody else. Nothing is left pointing at the person who has gone.
What stays, and what goes
| Stays exactly as it is | Released for someone else | | --- | --- | | Every attendance mark they recorded | Class teacher of any class | | Every result and grade they entered | Head of any department | | Assessments they set up | Subjects they taught | | Payments they recorded | Their timetable periods | | Their name in the Audit Log | Their sign-in access |
Open any class register or results sheet from their time and their name is still there. That is deliberate — a report card signed by a teacher who has since left is still a valid report card.
Bringing someone back
If a former colleague returns, open the Directory, switch the filter from Current to Former, find them and choose Reinstate from the ⋮ menu. They can sign in again with their old password.
Their old classes and subjects are not handed back automatically — those may belong to somebody else now. Assign them fresh, the same way you would for a new teacher.
Common issues
- I can't see Remove from school in the menu
Three things hide it: the person is the Owner (transfer ownership first), the person is you (ask another admin), or you don't hold a role that manages staff. Check the Directory card for the crown badge, then check your own role.
- I want to erase them completely, not just remove them
You can't, once they have marked attendance, entered a result or recorded a payment — and that is on purpose. Those records belong to your school, and each one names the person who made it. Removing them takes away their access and their duties; it never takes away your records.
- They still show up in the Directory
Removed people are hidden by default. If you still see them, check the membership filter next to the role filter — it should say Current. Switch it to Former to see everyone who has been removed, and Everyone to see both.
- I tried to invite them again and it refused
Someone who has been removed can't be re-invited — their email is still attached to their old record, and a second invite would create a second, empty account. Use Reinstate instead (see above). It restores their access to the same account, with all their history.
- Their class still shows no teacher
Removing someone releases their duties but does not choose their replacement. Open the class, go to Overview, and assign a new class teacher. Do the same for each subject on the Academics tab.
