How to send school fee reminders to parents on WhatsApp
By the edunile team. Reviewed on
The short answer
Send each parent who owes a short, polite WhatsApp message 3 days and 1 day before the due date, on the due date, and then 3, 7 and 14 days after it, naming the child, the amount still owed, the due date and a link to pay. Message only parents who gave you their number and agreed to hear from you, and stop the moment a bill is paid. A business sending through the WhatsApp Business Platform must start each conversation with a message template WhatsApp has approved.
When should you send school fee reminders?
Spaced out, and only to parents who still owe. The bill itself is the first notice; reminders follow it.
| When | What it says | On edunile |
|---|---|---|
| When fees are sent | The bill: the amount, the due date and a link to pay. | Sent on WhatsApp, and by email where you have it, when you send fees. |
| 3 days before the due date | A gentle heads-up. | Automatic, at 9am. |
| 1 day before the due date | Fees are due tomorrow. | Automatic, at 9am. |
| On the due date | Fees are due today. | Automatic, at 9am. |
| 3 days after | The balance is now overdue. | Automatic, at 9am. |
| 7 days after | A second overdue reminder. | Automatic, at 9am. |
| 14 days after | A last reminder, with an offer to talk. | Automatic, at 9am. |
What should a fee reminder say?
- The child’s name, so a parent with three children knows which bill.
- The amount still owed, not the full term fee, if part has been paid.
- The due date.
- One way to pay: a link, or the school’s account details.
- Who to call to agree a plan.
- Nothing a parent would be embarrassed to have read aloud. Never chase a debt in a class group chat.
What messages can you copy and send?
Change the words in square brackets. Each one is short enough to read on a small phone screen.
- Before the due date: "Good morning [Parent name]. This is a reminder from [School name] that [Child name]’s fees for [term] of ₦[amount] are due on [date]. You can pay here: [link]. If you have already paid, thank you, and please ignore this message."
- On the due date: "Good morning [Parent name]. [Child name]’s school fees of ₦[amount] are due today. You can pay by card, transfer or USSD here: [link]. Thank you."
- Overdue: "Good morning [Parent name]. ₦[amount] is still outstanding on [Child name]’s fees for [term], which were due on [date]. Please pay here: [link], or call the bursar on [phone] to agree a plan. If you have paid, please send us your payment reference so we can update our record."
- Part-paid: "Good morning [Parent name]. Thank you for paying ₦[amount paid] towards [Child name]’s fees. ₦[balance] is still outstanding. You can pay the balance here: [link]."
What WhatsApp rules apply to schools?
| Rule | What it means for a school |
|---|---|
| Opt-in | Message only parents who gave you their number and agreed to receive messages from the school. |
| Stopping | If a parent asks you to stop, stop, whether they ask on WhatsApp or in person. |
| Approved templates | Through the WhatsApp Business Platform, a school or its software can only start a conversation with a message template WhatsApp has approved. |
| The 24-hour window | Once a parent messages you, you may reply freely for 24 hours. Each new message from the parent starts the 24 hours again. |
| Paying per message | Meta charges the business for each template message it delivers, priced by the kind of message and the parent’s country. |
The opt-in and stopping rules apply to the WhatsApp Business app on a bursar’s phone as well as to the WhatsApp Business Platform.
How do you get parents’ agreement to WhatsApp messages?
Ask for it where you collect the number. Add a line to the admission form, such as "The school will send fee bills, receipts and school notices to this WhatsApp number", and say it again at the PTA meeting. Write down any parent who asks not to be messaged, and use email or a call for them instead.
What about parents who are not on WhatsApp?
- Email. Send the same reminder to the address on the child’s record.
- A phone call from the bursar, for the few who still owe after two weeks.
- A printed note in the child’s bag, for families with neither.
- Check the number. A reminder that never arrives is often a number that is not on WhatsApp.
How often is too often?
One message a day at most, and never to a parent who has paid. Daily reminders can teach parents to mute the school, and then the notice about resumption or a closure goes unread too. Six reminders spread over about two and a half weeks, two before the due date, one on it and three after, each with the right amount, is a sensible ceiling. Stop the moment the bill is paid.
What edunile does here
On edunile, a reminder to one parent takes two taps from the class list on the Finance page: the ⋮ menu on the child’s row, then Send a reminder. It goes on WhatsApp, and by email where you have the address, with that parent’s own balance, bill number and due date. A second tap the same day sends nothing and says Already reminded today, and a bill that is paid cannot be reminded at all.
With Payment reminders on (it is, unless you switch it off when you send fees), edunile reminds every parent who still owes 3 days and 1 day before the due date, on the due date, and again 3, 7 and 14 days after it, at 9am Lagos time. Once a bill is paid, its reminders stop. It skips a bill you already reminded by hand that day. If the day’s WhatsApp limit is reached, that day’s reminder goes by email only, where you have the address. A reminder that does not arrive is listed under Communications, Undelivered, so you can fix the number.
Common questions
Can I send one fee reminder to every parent at once?
Send each parent who owes their own reminder instead, with their own balance. A message to the whole school also reaches parents who have paid. On edunile, automatic reminders go only to parents with something still owed.
Is it allowed to send fee reminders on WhatsApp?
Yes, to parents who gave you their number and agreed to hear from the school. WhatsApp’s policy also says you must stop when a parent asks.
What time of day should reminders go?
In the morning, during school hours, so the bursar is there to answer a reply. edunile’s automatic reminders go at 9am Lagos time.
What if a parent says they have already paid?
Ask for the teller or transfer reference, check it against the bank, and record the payment. Once the full amount is recorded, the reminders stop.
Will a parent who has paid still get a reminder?
Not from edunile. Reminders only go on bills that are unpaid, part-paid or overdue, and a payment made through the link updates the bill the moment it clears.
